11/10/11

NATIONAL REP UPDATE:

· Will is looking for one more signature to finalize our application for national recognition. If anyone hasn’t already signed the app and has a current APA number, please contact Will wsimpson@eagles.ewu.edu

STATE REP:

· The State board met for a retreat on November 4^th to develop a strategic plan for the WA APA; no updates yet.

· Also, all WA APA members received an email recently asking for our opinion on next year’s state conference. We are asked to vote on location and timing. Please vote.

INLAND EMPIRE SECTION REP:

· The IES is discussing restructuring the mentoring program to include new grads because of the lack in response from existing students.

o Students discussed overall interest in the mentoring program, suggested a possible meet & greet to match up mentors with interested students

o Also, some other students (not part of the meeting) mentioned contacting the coordinator Jim Falk and either not hearing back from him, or receiving a very delayed response.

o His email is here, if people want to sign up for mentoring: jfalk@spokanecounty.org. Also, Karl has the form if you are interested in requesting a mentor.

· Susan Winchell is considering starting a young professionals group

TRESURER UPDATE:

· Karl is still waiting for Portland receipts from one person and then he will be able to calculate how much each person will receive in reimbursements.

· Karl mentioned wanting to deposit the money made from the Chili Cook-Off ($460) into his account and writing a personal check to EWU, so as not to travel out to Cheney with that much cash on hand.

o No one had a problem with this.

· We discussed having an end of the quarter social event at Karl’s club house; an Ugly Sweater Christmas Party. We decided on Dec 8^th as the date for the party. We will discuss timing and send out more emails closer to the date of event.

VP UPDATE:

· There was a BRC internship training last weekend, it went really well.

PRESIDENT UPDATE:

· After speaking with Dr. Winchell, we were informed that student requests for the department must go through faculty or staff. We are advised to no longer make requests directly to other staff (for example: IT), because we should be following protocol established by the University.

o Students expressed a concern for lack of response when previous actions had been requested in this way.

· Also mentioned were the recent comments regarding the health of the program (i.e.: budget cuts). Dr. Winchell assured us that the program is in no danger; we are basically funding ourselves through all the grant money the department receives and are seen as a model for much of the University for our outreach and activities within the community.

o Also, the Graduate portion of the department is based on enrollment of 10 individuals per year, which we have not had difficulty in obtaining. We do need to recruit more Undergrads, though.

· It is suggested that as many students as possible participate in the Student Research and Creative Works Symposium, which is a venue to showcase any projects or present research completed during that school year. The symposium is in Cheney in May. We will provide more updates about participation as it gets closer.

· Fred will be offering the class Presentation Techniques, a 1 credit class, in the Winter Quarter. It is designed to include more grad students and all are encouraged to sign up.

TECHNOLOGY COMMITTEE:

· We have newer computers in the studio

o However, many are having difficulties printing; Jeremy will be looking into this.

· He asked if any students have technology requests for software, equipment, hardware – if so, email Jeremy at jkulm@hotmail.com

· Jeremy is offering to teach an informal GIS class over Christmas break on Tues/Thurs afternoons, starting on 12/13. We will email more about this later.

NEXT QUARTER MEETING TIME:

· At first glance this same meeting time, Thursday at 11:45, would work with most undergrad and graduate class schedules and allow for the greatest number of participants. Please let us know if we have overlooked something and we can discuss.

NEXT MEETING:

· The next meeting will be held in Cheney, Nov. 21 at 1PM. Fred has offered the first 45 minutes of his undergrad class that meets during that time in Cheney. We will provide snacks at the meeting.

TREASURER UPDATE:

· We have $1500 available to use for reimbursement for the Portland conference. We are unsure how it is going be split up amongst the 12 attendees, since not everyone incurred $125 worth of reimbursable expenses. At this time, we have decided that each person should send Karl a hard copy of their receipts for the conference along the necessary EWU form. Once we have determined how much each person incurred in expenses, we can have a better idea of how to distribute funding.

PRESIDENT UPDATE:

· President absent

CHENEY REP:

· First time with us. Sherwin would like to know how the predecessor handled the job of Cheney rep. He is concerned about the time conflict for him with a class directly after the meeting in Cheney; wants to know if we can discuss this further to figure out the conflict.

· Will, VP standing in for Pres, informed Sherwin that the timing of the meeting was decided based upon desire for participation and this time was when most individuals were available. Also, due to the fact that schedules change every three months, our hands are tied in nailing down a time right now that will work for meeting times for the whole year. He also noted that he would like to hold a meeting with Dr. Winchell to discuss this further.

REFLECTIONS ON PORTLAND CONFERENCE:

· Kate noted that she would have liked dialogue about the conference to have started earlier in the year – perhaps over the summer – to better prepare both financially and schedule-wise.

· Others noted that they would have liked the first years to know about the dates sooner.

· Sherwin noted that he would like to see an annual calendar of important events for students.

o Ali will put together a bare calendar of currently known events.

PAC MEETING:

· The Professional Advisory Committee is coming to EWU on Friday 10/28.

· Students raised concerns about a couple of issues that they plan to express at the meeting:

· Lack of technology in classes

· Lack of sufficient GIS training

· Lack of integration of tribal planning in core courses

CHILI COOK-OFF:

· The Chili Cook-Off is taking place on 10/28 at 6PM.

· There will not be a keg, but Dr. Winchell plans to drinks for the event

· The pumpkin carving was cancelled due to lack of interest.

ADVISOR COMMENTS:

· No advisor present

VP UPDATE:

· Go to lectures that are being offered. There was a Low Impact Development lecture offered on Saturday through AHBL here in Spokane.

PRESIDENT UPDATE:

· We have 30 “active” members; this is more than half the registered program

TECHNOLOGY NEWS:

· Jeremy is trying to get access to the GIS lab for us. There is a color inkjet printer in this lab that we would like access to. He is also working on upgrading the computers and servers in the Studio.

· Will raised the concern that the computers are often on in the mornings when he gets to the Studio. Jeremy said that they are a timer of sorts to shut off at night, but then turn on again in the morning. He has tried getting the password from Muhammad (somehow he has this) to reset the timers, but he has been unwilling to give it to Jeremy.

· Tara (new student) offered to run the Cheney meetings through Skype, but was unable to this Thursday because of previous conflicts.

· Jeremy is also trying to set up VirtualLab and NetStorage tutorials for new students.

SOCIAL EVENTS/FUNDRAISERS:

· Karl has been looking into the pint glass cost. He thinks that is will be between $150-200 for 100 glasses. He needs a graphic designer to step up and help with the design. karl.almgren@gmail.com

· Jeremy spoke with the appropriate departments to determine who takes care of EWU logos. Students Accounts helps with ordering, while Marketing/Communications helps with using the EWU logo. We still haven’t decided if we want to have the EWU logo on the shirts.

· Karl had an idea for a t-shirt – Robert Moses and Jane Jacobs having a pillow fight.

· Karl would like the Chili Cook-Off should be a costume party, as well.

· Another game idea for the cook-off would be to guess the age of the student. Two students we would like to use = Joanne & Jason.

· We would like to do a pumpkin carving activity during the day of the cook-off.

· Rose needs some volunteers for set-up and tear-down for the cook-off. Please contact Rose if you are available to help.

· We would also like to designate a DD for the event – in case people drink too much, we would like a safe ride home for them after the event. If anyone is available, please contact Ali Kara.

· Karl would like to do Operation Dinner Out on November 19^th. Basically, everyone would get together and go out to a local restaurant here in Spokane, just as a fun social event.

· Karl also mentioned an interest in starting an intramural basketball team. Please talk to Karl if you are interested in playing.

CONFERENCES:

· The Cascadia Conference (for WA & OR) is taking place in Portland this year over the Oct 19-21 weekend.

· We decided to hold a conference coordination meeting on Monday Oct. 10^th at 11:45AM in the studio. We will discuss reimbursement for the trip, carpooling groups and rooming situations. If you would like to receive funds from ASP for the trip and want to be involved in this discussion, please attend the meeting on Monday.

BROWN-BAG LUNCH:

· Aline will be giving a lunch time presentation at 11:45 on Thursday the 13^th in room 228 about her recent summer internship in North Dakota. Please bring your own lunch (brown bag) and plan to attend to hear about her summer.

The next scheduled meeting on the 20th is cancelled due to the Cascadia Conference. We will plan to meet on the 27^th, instead, as a make-up meeting and then continue with our same schedule as before (so back-to-back meetings).

ADVISOR COMMENTS:

· Dr. Winchell is unavailable to meet in Spokane on Thursdays because he teaches a class in Cheney, so he will not attend meetings during this quarter. However, depending on how early he arrives in Cheney, he might be able to participate in those meetings

TECHNOLOGY NEWS:

· The Studio received a new printer for student use.

o Please keep prints to one copy

SOCIAL EVENTS/FUNDRAISERS:

· The Chili Cook-Off will take place the last weekend in October – we need to be thinking about rounding up donations for the silent auction.

· Dr. Winchell would like to do a bike ride/social event out to Fish Lake on Oct. 1^st

· The Spokane River Clean-Up day is also Oct. 1^st:

o Ali is working with the Spokane River Forum and mentioned that they will be stationed at Mirabeau Point in the Valley, but there are multiple points along the river to participate. If you are interested in helping, visit these sites:

· Kate mentioned that the The Land’s Council needs help planting 10,000 trees for Reforest Spokane Day on Oct. 22^nd

· Karl brought up the idea of creating department Pint Glasses to sell at the Chili Cook-Off. He has contacted a screen printer in Seattle that can do the glasses for around $3 a piece.

· He would also like to create some sweatshirts and other URP/MURP paraphernalia to sell to alumni at events.

CONFERENCES:

· The Cascadia Conference (for WA & OR) is taking place in Portland this year over the Oct 19-21 weekend.

· Students can register for a drastically reduced price and ASP has received ASEWU funds to help offset the cost and provide scholarships.

o Brian asked for a committee to help coordinate any department efforts for the conference.

§ Jason & Brian both volunteered.

BYLAWS:

· Brian discussed changing the bylaws phrasing to read that anyone who is a confirmed member of the ASP will be considered a member. This is due to the open-endedness of the current phrasing for voting purposes, etc. We will discuss in more length at a later time.

§ Will Simpson has been asked to spearhead this re-phrasing.

ALL DEPARTMENT NEWS:

· We have an all department meeting on Sept. 22.

o We will attempt to do a data collection at the meeting for all who wish to be confirmed members of the association – name/program/cohort/email/birthdates – for ASP purposes

o We will be asking for a Cheney rep for the board, so we should prepare for an election.

§ Karl raised a motion to hold an election for a Rep 2 weeks from now, it was seconded.
